Who We Are
Orenda Films Inc. is a film production company based in Victoria, British Columbia. This policy explains what personal information we collect through orendafilms.com, why we collect it, and how we protect it. We handle personal information in line with British Columbia's Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

What We Collect
We collect as little as we can.
- When you contact us: your name, email address, and the message you write.
- To keep the form free of spam: your IP address, and a hidden field in the form that people never see and automated submitters fill in. These are used only to block abuse and are not linked to a profile of you.
- When you browse: standard technical information your browser sends to any website, such as IP address, browser type, and pages requested. Our hosting provider processes this to deliver and secure the site.
We don't use analytics or advertising trackers, and we don't build profiles of visitors.

How We Use It
- To read and reply to your enquiry.
- To send you one automatic confirmation that your message arrived.
- To keep records of our conversations if we go on to work together.
We have no mailing list. If we email you again, it's a real person replying. We never sell, rent, or trade your personal information.

Services We Rely On
A small number of trusted providers help run this site. Each receives only what it needs to do its job.
- DigitalOcean provides the server the site runs on, in their Toronto, Canada data centre.
- Cloudflare registers our domain and runs its DNS, which is how your browser finds that server.
- Proton Mail delivers and stores the messages you send us, using encryption.
- Google Fonts supplies our typeface. Your browser requests it directly from Google.
- cdnjs and unpkg supply the code libraries that power the site's animations and map.
- YouTube and Vimeo play our films. Nothing loads from them until you press play, and we use YouTube's privacy-enhanced mode.
- Shade stores project media and hosts client review and approval.
- Notion is where we plan and manage projects, including client contact details.
- DaVinci Resolve is our editing and colour software. Project work is handled on our own secured systems.

Where Your Information Is Stored
Some of our providers process information outside Canada, including in the United States and Switzerland (Proton). When information leaves Canada, it may be subject to the laws of that country. We choose providers with strong security and privacy practices.

How Long We Keep It
We keep personal information and business records for six years from the end of the last tax year they relate to, the same period the Canada Revenue Agency requires for business records. After that, we securely delete them. Enquiries that don't lead to a project may be deleted sooner.

How We Protect It
We protect your information, and our clients' work and intellectual property, with the same care we give our own.
- Two-factor authentication on every account that holds client information.
- The platforms that hold client information - Proton, Notion, Shade and Vimeo - are chosen for how they handle security and privacy.
- The site is served only over encrypted connections (HTTPS), and email is handled through Proton's encrypted service.
- Access is limited to the people at Orenda Films who need it for the work.
No system is completely risk-free, but we choose tools and practices built to keep your information and your work secure.

Your Choices and Rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent and have us delete it, subject to any legal requirements. Email privacy@orendafilms.com and we'll respond within 30 days.
If you're not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner for British Columbia at oipc.bc.ca.

Children
Our services are for businesses and organizations. We don't knowingly collect personal information through this site from anyone under 18.

Changes to This Policy
If we change how we handle personal information, we'll update this page and the effective date at the top.
